Printing Monthly Calendars From Outlook
Using Word

 
  Outlook's ability to print and display many events occurring in a highly populated calendar day, in the monthly view, is somewhat limited. This page introduces the use of a Word template that produces complete monthly calendars for printing, in Word, from any Outlook calendar. Note: This template/addin may not be compatible with Office 2007.
  1. First download the template. (You only have to do this once.)
    1. Right click the following link My Outlook Calendar.dot
    2. Select "Save Target As"
    3. A file download prompt will begin and a Save As menu will appear. In the file save menu, navigate to C:\Program Files\Microsoft Office\OFFICE11\STARTUP
      Important: Windows may try to rename the file to end with .doc, please rename this to .dot.
    4. Click Save
    5. A Download complete menu may appear. In this case, click the Close button.
    6. Open Word
    7. A Restart Icon should appear on the end of the Formatting menu. If so, proceed to item II., Otherwise:
      1. In Word, select Tools/Templates and Add-Ins
      2. If My Outlook Calendar.dot is present and not checked, then check it and click OK.
      3. If it is not present, then click Add.., and navigate to C:\Program Files\Microsoft Office\OFFICE11\STARTUP and select My Outlook Calendar.dot. 
      4. Click Ok
    8. To test whether or not the restart button will appear automatically, close out of Word and open it up again

 

  1. You are now ready to Create and Print a calendar
    1. Open desired Outlook Calendar
    2. In Word Reset the margins in a new, blank document
      1. Left and right margins -- .50" 
      2. Top and bottom margins -- .25" inches (If you use an inkjet, this may be too small so you may have to adjust later.)
    3. Click the Restart button
    4. The Calendar Menu
      1. Select calendar to create
      2. From the drop menu  at the top of the My Outlook Calendar Menu Select "Currently Selected Calendar Folder in Outlook.  
      3. Select the Monthly button.
      4. Select the Monthly tab
      5. Choose the starting month and the number of months that you'd like to create, including the first month.
      6. The Colors tab lists the categories of data on the calendar and can be customized for your convenience.
      7. The Format tab sets font sizes and whether or not calendar thumbnails are allowed. Uncheck Calendar Thumbnails to save space. Set the Appointment Font Size to 6 to save space and paper.
      8. Click OK
      9. Save the page with an appropriate title.
